File Format for Importing Hours (Comma Separated Value Files (.csv)

All fields below are required.* A header row must be included in the file. In addition, one Hours Type and one County Code must be reported per row. If additional Hours Types or County Codes are necessary for the same employee, then include an additional row for that employee.

 

1.   Member SSN  – 9 characters (123456789) (Numeric Values) (No Delimiters)

2.   Period From       –          8 characters (MMDDYYYY) (Numeric Values) (No Delimiters)

3.   Period To            –          8 characters (MMDDYYYY) (Numeric Values) (No Delimiters)

4.   HoursType – 20 characters max (Ex. 123456 or Custom1) (Alphanumeric, no commas) Employer must create User Defined Codes in Estamps 2.0 to map type of work performed to Hours Types in Estamps. On Home Page, click on Hours Types menu. Click the Edit Icon next to each Hours Type and add the code you will be using in the import file. Click the Save Icon when you are finished. (With some exceptions, former Estamps Classic users are able to use the same User Defined Codes.)

5.   RegHours – 6 characters maximum (Ex. 0 to 999.99) (Numeric Values)

Insert regular hours worked here. Decimal only required if reporting a fraction. Must include “0” for zero hours. Do not leave blank.

6.   OTHrs – 6 characters maximum (Ex. 0 to 999.99) (Numeric Values)

Insert overtime hours worked here. (If overtime factor is a 1 : 1 ratio, it may be included in regular hours field.) Decimal only required if reporting a fraction. Must include “0” for zero hours. Do not leave blank.

7.   County – Requires Estamps 2.0’s County Code (Ex. ALEX)

The list of County Codes is located in the Reports Tab on Estamps 2.0. Select Employer Hours Type by County. Click Download. Click on the file that appears on the bottom left side of your screen. County Codes are in parentheses.

8.   DTHrs – 6 characters maximum (Ex. 0 to 999.99) (Numeric Values)

9.  PWC  –  (Prevailing Wage Category) (Alphanumeric)

 

Note:   *If you are using a residential Hours Type, then you may leave the County field blank.
